If you are working out how to price coaching packages, start with the economics of one session. A package should buy a real commitment from the client without pushing your effective rate below a number you are happy to coach for.
This lesson package worksheet gives you the calculation, the policy decisions, and the client-facing copy in one place. Use it for private sports coaching, then adjust the numbers for your session length, venue costs, travel, and demand.
The quick pricing formula
Use this order:
- Set the single-session rate first.
- Choose how many sessions belong in the package.
- Decide what commitment the package earns from the client.
- Set a package price that keeps the effective session rate acceptable.
- Write the expiry, cancellation, and credit rules before the offer goes live.
The formula is simple:
Package price ÷ number of sessions = effective rate per session
Do not begin with a percentage discount. Begin with the rate you need the package to preserve.
1. The maths
Fill in your own numbers.
| Line | Your number |
|---|---|
| Single session rate | $______ |
| Sessions in the package | ______ |
| Package price | $______ |
| Effective per-session rate | $______ |
| Discount per session | $______ |
| Discount as a percentage | ______% |
| Cash collected upfront | $______ |
A worked example, so the calculation is clear:
- Single session rate: $85
- Package: 10 sessions for $750
- Effective rate: $75 per session
- Discount: $10 per session, about 12%
- Collected upfront: $750
This is an example, not a recommended rate. Your price needs to reflect your sport, market, experience, session length, facility cost, and travel.
Three things to check before you commit.
Are you discounting for something you already had? If a client already books weekly and pays every time, a package converts guaranteed revenue into discounted revenue. The discount should buy commitment you did not already have, or cash timing you actually need.
Does the effective rate still work? $75 for ten sessions is only good business if $75 is a rate you would accept. Work out the per-session number before you fall in love with the package price.
Can the client understand the difference? A package needs a clear reason to exist. That may be a better per-session rate, a defined progression, easier repeat booking, or a reserved coaching rhythm. If the only difference is a larger upfront charge, the offer will feel harder to buy.
For the single-session number behind this worksheet, use the guide to pricing private coaching lessons.
2. The rules
These are the ones that cause arguments later. Decide them now.
Expiry. Credits are valid for ______ months from purchase.
Without an expiry, a ten-pack bought in March can turn up in December expecting your old rate. Choose a window that fits the coaching progression and your schedule. Say it on the offer page.
Late cancellations. A session cancelled inside the cancellation window: uses a credit / does not use a credit.
Pick one. If the answer is “does not use a credit”, your cancellation policy has no teeth for package clients, which is usually the opposite of what you wanted.
Transferability. Credits can be used by: the purchaser only / anybody in the immediate family / anybody.
Junior coaching often needs the family option. Say so explicitly, or you will decide it under pressure when a sibling turns up.
Across offer types. Can a private-lesson credit be spent on a clinic seat?
Usually no, because the prices differ. If yes, define the conversion before somebody asks.
3. The tracking
Tracking decides whether packages save you time or quietly cost you time.
Ask one question: when a package client books a session, what decrements the count?
If the honest answer is “I do, later, from memory or a spreadsheet”, then every package you sell adds a recurring manual job and an eventual disagreement about how many are left. Clients keep their own count, and their count is usually different from yours.
The count should be a consequence of the booking. Package sold, credits sit on the client record, booking a session draws one down, and both of you are looking at the same number.
That is the operational test. If the package price looks good but the coach has to reconcile credits after every lesson, the package has created hidden work. The packages and credits feature shows how ECB keeps the balance connected to the client and booking record.
4. The description the client reads
Fill in the blanks and put this on the page:
______ session package: $______
Save $______ per session compared with booking individually.
Credits are valid for ______ months from purchase and can be used for ______. Sessions cancelled with less than ______ hours notice use a credit. Book each session as you go, at times that suit you.
If you cannot fill every blank, the package is not ready to sell yet.
Coaching package pricing FAQ
How much should I discount a coaching package?
There is no universal percentage. Calculate the effective rate first and discount only enough to earn a commitment you did not already have. If a client already books every week, a discount may reduce revenue without changing behavior.
Should a coaching package expire?
Usually, yes. An expiry protects the coaching plan and prevents old credits from returning long after your schedule or rate changes. Choose a window that matches the package goal, then show it before payment.
Should a late cancellation use a package credit?
Decide that before the package goes live and state it plainly. If late cancellations never use a credit, the cancellation policy may not protect the reserved time.
Is this a coaching package pricing template for life coaches too?
It is written for private sports instruction, where a package contains bookable lessons and a credit balance. A consulting or life-coaching package may need a different model because the deliverables are not interchangeable lesson credits.
When the numbers and rules are ready, build the offer in the Launch Room. Elite Coach Booking can keep package credits in the same system as the booking, payment, and client record, so the balance does not become a separate spreadsheet.
