Sell packages without tracking credits by hand

Packages should create repeat bookings, not a side spreadsheet. Elite Coach Booking keeps credits connected to clients, bookings, and the coach app.

A tennis pro selling starter packs and league tune-up packages

A tennis coach sells a 6-lesson starter pack for new players and a 10-session league tune-up for returning clients. The package is only useful if the coach can see what each client has left before scheduling the next lesson.

  • New clients can buy a package once instead of paying every lesson.
  • Credits are visible from the coach's daily workflow.
  • Used lessons stay connected to real bookings and client history.

What a package looks like to your client

Updated

Packages are one of the simplest ways for a coach to create predictable revenue. They also become a mess when balances live in texts, notes, or memory.

Elite Coach Booking keeps prepaid value attached to the client relationship. Coaches can see what is left, what has been used, and where the next lesson fits.

For private coaching, that context changes behavior. If a client has one lesson left, the coach can talk about the next package at the right time. If a family has multiple players, the coach can keep the real balance visible instead of trying to reconstruct it after practice.

What gets easier

  • Clients can buy repeat coaching without another payment decision every lesson.
  • Coaches can see balances before they walk on court.
  • Package usage stays connected to actual bookings.
  • Client records become useful instead of just names and phone numbers.
  • Renewals become easier because the system shows when credits are running low.

How package tracking works day to day

A client buys an 8-lesson package on your site. The payment goes through Stripe Checkout on your own account, and eight credits appear on their record once Stripe confirms it. When they book their next private lesson of the same length, one credit applies and nothing is due. If they cancel, the credit goes back. When they are down to two, the account shows up in your Needs You list.

You never reconcile a spreadsheet against your calendar, because the balance and the bookings are the same record.

Why coaches care

If packages are hard to track, coaches stop selling them confidently. The system should make repeat coaching feel clean.

Selling your first package? The guide to selling lesson packages without tracking credits by hand walks through pricing a package and setting its rules before you sell it. For recurring monthly plans instead of prepaid packs, see memberships.

If a school, club, or another payer requires a separate billing document for the package, the coaching invoice template for sports coaches keeps the package description, session count, terms, and payment reference in one record.

Package balances stay tied to the client relationship.

01

Sell the package

The coach offers prepaid lessons or credits as a clean booking option instead of a manual invoice.

02

Book against credits

Each redeemed lesson reduces the balance and stays attached to the client's history.

03

See what is left

Before the next lesson, the coach can see remaining credits, upcoming bookings, and recent activity.

More repeat coaching

Packages make the next lesson feel like part of the plan instead of another sales moment.

Cleaner records

Credits, bookings, and client notes live together so package tracking does not depend on memory.

Test three: does it know what kind of coaching you sell?

A private, a clinic, a camp, a package, and a membership are different things. A real tool treats each one as what it is.

Test three: does it know what kind of coaching you sell? A private, a clinic, a camp, a package, and a membership are different things. A tool that treats them all as an appointment with extra people sends you back to a notes app. A real one uses a package credit when a client books and puts it back when they cancel. It publishes a clinic with its own seats and price.

Who it is for

Private coaches who sell 4, 6, 8, or 10 lesson packs and want every balance, redemption, and cancellation tracked for them. Packages and credits are included on Core and Elite.

Who it is not for

Clinic, camp, and group class passes. A package covers private lessons of the same length as the package, and group coaching is sold as a program on Elite. Packages are not part of Platform billing.

Common questions

How do lesson package credits work?

You create a package offer, such as 8 private 60-minute lessons, and set its price. A client buys it from your booking page through Stripe Checkout on your own Stripe account, and the credits are added once Stripe confirms the payment. Each time the client books a matching lesson, one credit is used automatically. Online, a returning client confirms their phone number by text before a credit applies.

What happens to a credit when a lesson is cancelled?

One session goes back on the package. A cancelled package lesson restores the credit. It never turns into a cash balance.

Do lesson packages expire?

You choose. A package can expire anywhere from 1 to 60 months after purchase, and the default is 6 months. A gifted package starts its clock when the recipient claims it.

Can a family share one package?

Yes. A package can belong to the buyer only, to the buyer and the children saved on their record, which is the default, or to a household shared with another adult who verifies their own phone number.

Can I record a package a client paid for in cash?

Yes. Mark the package paid by hand and its credits are created. From the client's record you can also add or remove sessions or void a package.

Will I know when a client is running low?

Yes. When a client has 2 or fewer sessions left, it appears in your Needs You list, so you can offer the next package at the right moment.

Can clients see how many lessons they have left?

Yes. Their payment receipt shows the credits purchased and remaining, and their booking management link shows purchased, remaining, and the use-by date.

Does Elite Coach Booking take a cut of package sales?

No. On Core at $39 a month and Elite at $79 a month, Elite Coach Booking adds no fee to client payments, packages included. Stripe's standard processing applies.

Bring the messy coaching rules.

Elite Coach Booking turns those rules into a booking flow clients can use and a coach app you can run from.
