Booking Operations Cleanup Playbook

A step-by-step guide for replacing scattered texts, payment chasing, and reminder chaos with one cleaner coaching business loop.

A four step flow moving from listing the offers to setting the payment rule, attaching the venue, and publishing one booking path.

This playbook is for coaches whose business is working, but the operating loop is still held together by texts, memory, and payment reminders.

The goal is not to become less personal. The goal is to stop making the coach explain the same logistics over and over.

1. Inventory what clients can actually buy

Write down every bookable thing:

  • Private lesson.
  • Travel lesson.
  • Weekly clinic.
  • Seasonal camp.
  • Junior class.
  • Package or prepaid credit.
  • Special event.

If clients ask for it regularly, it deserves a defined offer.

2. Pick the payment rule for each offer

Do not force one payment behavior across the whole business.

  • Use full pay for limited seats.
  • Use deposits for time you need to protect.
  • Use pay at session when the facility or relationship requires it.
  • Use external instructions when a venue or payment rail sits outside the platform.

The coach should know what is paid before the session starts.

3. Attach places and instructions

Each offer needs the right location context.

A clinic at a club, a camp at a park, and a come-to-you private lesson all need different instructions. If the booking page does not know that, the coach becomes the help desk.

4. Publish to existing clients first

Before blasting the page everywhere, send it to a small group of current clients.

Ask them to book through the page. Watch where they hesitate. Fix confusing offer names, instructions, prices, and session descriptions.

5. Move repeat questions into the system

Every repeated text is a signal.

If people keep asking where to go, add venue instructions. If they ask whether payment is due, clarify the payment rule. If they ask what level the clinic is for, add that to the public listing.

The best booking page gets sharper every week.

Bring the messy coaching rules.

Elite Coach Booking turns those rules into a booking flow clients can use and a coach app you can run from.
